PPF Factory Lead Times: What Distributors Should Expect for Bulk Orders

Your supplier says the rolls will be ready in three weeks. Your installer customers want to know when they can order from your warehouse. To give them a date, start with the PPF factory lead time, then allow for pickup, transit and receiving. Ask which date the factory can confirm for each model on your order.

Find out what needs to be made

The same order can include finished rolls, film that still needs slitting and a private label SKU waiting for cartons. Ask the supplier to confirm the status of each model, finish, roll size and quantity in writing.

Order typeWhat can affect the cargo-ready date
Finished rolls in stockConfirm how many rolls can be reserved, when the hold expires and what packing remains.
Standard film made to orderAsk when materials and line time are available. Allow for production, slitting, inspection and packing.
First private label orderCheck when artwork must be approved and when cartons, cores and labels will arrive. Ask which steps can run alongside film production.
Repeat private label orderConfirm that the approved specification and artwork are still current and that enough packaging remains for this quantity.

For example, ask about KSB TOP75 and TOP85 separately, even if they are on the same purchase order. The factory may be able to release one model earlier. If an installer is waiting on that film, ask whether a split shipment would help and what it would cost. See the KSB paint protection film range.

Put three dates on the order

Confirm when the lead time starts. Depending on the order, that may be after the deposit, final specifications or artwork approval. Ask for the cargo-ready date after inspection and packing, the estimated dispatch date, and an estimated date the rolls can be released from your warehouse. Build that last estimate with your forwarder and receiving team, including customs and incoming inspection.

For a first branded order, check what you need to approve in the PPF packaging guide.

Set a reorder point for each film

Use weekly sales and the time from placing a repeat order to having sellable rolls back in your warehouse. Add a buffer based on demand swings and delays you’ve seen. Add the buffer weeks to the replenishment weeks, then multiply by weekly roll sales.

Say a distributor sells 12 rolls of one model per week. In this example, the factory needs three weeks and the rest of the trip through receiving takes four. With a two-week buffer, the reorder point is 12 × (3 + 4 + 2) = 108 rolls. With no incoming stock, that’s when the distributor would place the next order. The timing here is illustrative.

Review usable stock and confirmed incoming shipments against upcoming demand. If a shipment will arrive after you expect to run short, flag the gap when you review that SKU. For repeat orders, send the supplier a forecast for your best sellers and reconfirm the production slot, packaging balance and cargo-ready date on each purchase order.

Ask KSB for an order schedule

Send your company name, destination city, roll count by model and size, packaging requirements and the date you need stock in your warehouse. For a reorder, include your last purchase order number and flag any changes. We can check availability and confirm the cargo-ready date for the quantities you need.
