Why Most Buyers Skip the Audit (And Regret It)

Most buyers make their first purchase based on two things: price and a nice-looking website. Both are easy to fake.

A trading company with no factory of its own can quote fast and send a decent sample. The problems show up on your third container, when the adhesive is suddenly different. A real manufacturer might respond slower, require more paperwork, and have less polished photos. But five years later, they’ll still be answering your calls.

Production Capability

1. Do you own the production line, or do you outsource manufacturing?

This is the most important question on the list. A real factory will answer without hesitation and offer to show you the production floor — in person or via live video call. A trading company will hedge, use phrases like “our partner factory,” or dodge entirely.

Request factory registration documents, a business license showing manufacturing scope, and a live video walkthrough. If they can’t produce all three, move on.


2. What is your annual production capacity?

A credible window film manufacturer should quote specific numbers — rolls per month, square meters per year, number of production lines. Vague answers like “we have large capacity” are red flags. For context, a mid-sized window film factory in China typically produces between 5 million and 30 million square meters per year across product lines.

Production records or capacity certificates are the proof — push for specifics. Some factories will share this; some won’t. The willingness to be specific matters either way.


3. What’s your minimum order quantity, and how does pricing scale?

Beyond price, MOQ tells you a lot about a factory’s customer mix. A factory with a 1,000-roll MOQ is probably used to smaller distributors and may have less rigorous QC systems. A factory requiring 5,000+ rolls has larger clients with stricter requirements — and usually more consistent output.

Also ask: does the MOQ apply per SKU, or across the total order? This matters when you’re building a mixed portfolio across automotive film, architectural film, and safety film.


4. What’s your standard lead time, and has it slipped in the past 12 months?

The honest answer to the second half of that question is revealing. Supply chain disruptions, material shortages, labor issues — they hit every factory at some point. Any supplier who claims a perfect delivery record is either brand new or not being straight with you. What matters is how they communicate delays and whether their QC process slows them down or speeds them up.


Quality Systems

5. What quality control checkpoints exist during production?

End-of-line inspection is the bare minimum. What you want is inline QC at every production stage: coating, lamination, slitting, and final roll packaging. Ask for a written QC process document. If they don’t have one, that tells you everything.

Key stages to confirm: raw material incoming inspection, coating weight measurement, adhesive consistency testing, optical clarity testing (haze meter), and final roll inspection.


6. Can you share recent test reports from a third-party lab?

Any manufacturer selling into regulated markets (EU, US, Australia) should have third-party test reports less than 12 months old. The reports should test at minimum: visible light transmission (VLT), infrared rejection (IRR), UV rejection, and scratch resistance.

Be specific about which standards you need. For the US market, ask about AIMCAL test protocols. In Europe, the relevant standard is EN ISO 9050. If the film is intended for California or other regulated automotive markets, always verify that the VLT complies with local legal requirements.

Insist on SGS, Intertek, or Bureau Veritas reports. Self-certified test data doesn’t count.


7. How do you handle defective products or quality complaints?

Here’s the key: listen for process, not promises. “We replace defective goods immediately” is a promise. “We have a written complaints log, root cause analysis within 72 hours, and a replacement shipped within two weeks” is a process. One means something; the other is just words.


Certifications and Compliance

8. What certifications does your factory hold?

At minimum, a credible window film manufacturer should hold ISO 9001 (quality management). Depending on your target market, you may also need:

  • ISO 14001 — environmental management (required by some EU buyers)
  • RoHS — restricts hazardous substances (EU market)
  • REACH — chemical compliance (EU market)
  • SGS — third-party quality and safety audits, widely accepted across all markets

9. Can you produce documentation for customs and compliance purposes?

Most buyers only think about this after a shipment gets held at the port. A serious factory should have these documents ready: Certificate of Origin (CO), Material Safety Data Sheets (MSDS) for adhesives, and a product spec sheet with HS code. If they’ve never heard of MSDS or can’t provide a CO, you’ll have problems at customs.


10. Do you have experience exporting to your target market?

Factories that regularly ship to North America, Europe, or Australia already have systems in place for labeling requirements, packaging specifications, and documentation. One that sells mostly domestically may not — and you’ll spend time (and money) getting them up to speed.

Ask for references or existing clients in your region. Legitimate factories won’t name clients without permission, but they can confirm which markets they serve regularly.


Service and Responsiveness

11. What’s the typical response time for quotation requests and technical questions?

During your vetting process, you’re already running this test in real time. Did they respond within 24 hours? Did the reply actually answer your question, or was it a generic brochure? Can they speak to technical specs directly, or do they need to “check with the factory”?

If your contact needs to “check with the technical team” for basic IRR or adhesive questions, that’s a sign. They’re not in the factory — they’re in front of a laptop reselling someone else’s product.


12. What happens to your order if the factory faces a production disruption?

This is a stress test question, and most salespeople aren’t prepared for it. You’re looking for: backup production capacity, a clear communication protocol, and evidence that this has come up before and been handled well. If they’ve never considered this question, they haven’t dealt with much.
